Migration

How to move from spreadsheet to FRA Flow.

For most teams, the migration is incremental rather than a big-bang switch. Existing FRAs that have not yet hit their periodic review date stay where they are. New FRAs from the migration date onwards are carried out in FRA Flow. As periodic reviews come due, the new BS 9792-shaped assessment is created in FRA Flow and the prior spreadsheet report is referenced in the audit trail.

The team does not need to retroactively re-do every FRA on file. The transition completes naturally as the periodic cycle turns. By the end of one full review cycle (typically 12 months for an annually-reviewed portfolio), every active FRA is in FRA Flow.

Why do small teams still use spreadsheets for housing FRAs?

Can FRA Flow import our existing FRA spreadsheet?

No, and we recommend against attempting it. Spreadsheets vary too much between teams to allow a clean import. The cleanest pattern is operational migration: new assessments and annual reviews go into FRA Flow from a chosen start date, while existing spreadsheet reports remain accessible as PDFs or Excel files in your records system.

For the on-site capture, yes; the tablet app is structured rather than free-form, but the structure speeds the assessor up rather than slowing them down. For the post-visit drafting, FRA Flow is significantly faster than the spreadsheet-plus-Word workflow because the AI drafting generates narrative findings from your structured observations rather than requiring you to type them.

Is AI in fire safety reports a liability risk?

AI in FRA Flow accelerates drafting but never signs off. Every AI-generated paragraph is editable, auditable, and traceable to the photo, observation, or risk score that produced it. The competent person signs off the report, not the AI. The audit trail records who approved which version against which evidence, which strengthens defensibility under the Fire Safety Order 2005 rather than weakening it.

Where is our customer data stored?
