How FRA Flow compares
A lot of UK housing FRA work still happens in Excel. The flexibility, the speed, the offline editing: all real benefits. The audit trail, the evidence linkage, the BS 9792 fit: all weak points. FRA Flow keeps what worked and fixes what did not.
No card. Two reports a month, free forever.

What spreadsheets do badly
How FRA Flow keeps the strengths
FRA Flow is a structured workflow but not a slow one. The on-site capture app is offline-capable; site visits without coverage continue uninterrupted and sync when connectivity returns. The draft generation is faster than typing, often by a factor of several. The team controls the report template through per-landlord branding rather than vendor lock-in. The price point is sized for small teams as well as large.
For teams transitioning from a spreadsheet workflow, the change is less about giving up control and more about gaining the audit trail and BS 9792 alignment that the spreadsheet could not produce. The flexibility stays. The defensibility improves substantially.
How FRA Flow fixes the weak points
Every change recorded with who, when, why. The trail survives staff change and version confusion.
Photos and observations attached to the finding they support, not to a folder. No file-naming dependency.
The data model and report shape reflect the current standard. Methodology drift cannot creep in.
Competent reviewer sign-off is in the workflow, not outside it. Audit trail covers the QA step.
Every property visible at once. Periodic dates, action plans, status, all aggregated.
The system flags when a re-assessment is due. The trigger does not depend on someone remembering.
Migration
For most teams, the migration is incremental rather than a big-bang switch. Existing FRAs that have not yet hit their periodic review date stay where they are. New FRAs from the migration date onwards are carried out in FRA Flow. As periodic reviews come due, the new BS 9792-shaped assessment is created in FRA Flow and the prior spreadsheet report is referenced in the audit trail.
The team does not need to retroactively re-do every FRA on file. The transition completes naturally as the periodic cycle turns. By the end of one full review cycle (typically 12 months for an annually-reviewed portfolio), every active FRA is in FRA Flow.
Plans and pricing
Reviewer and admin seats are free on every paid tier. Report credits are pooled across the team so one busy assessor does not run out while another has spare capacity. Annual billing saves around 17 percent. The Solo and Free tiers are sized for one or two-person teams running their own programme. See full tiers, including the free tier and Enterprise, on the [pricing page](/pricing/).

FAQ
Speed, flexibility, offline use, ownership, and zero new spend. Excel is a powerful tool that the team already knows. The trade-offs are around audit trail, evidence linkage, version control, and BS 9792 alignment. FRA Flow is built to keep the upside of the spreadsheet workflow while fixing the downside.
No, and we recommend against attempting it. Spreadsheets vary too much between teams to allow a clean import. The cleanest pattern is operational migration: new assessments and annual reviews go into FRA Flow from a chosen start date, while existing spreadsheet reports remain accessible as PDFs or Excel files in your records system.
For the on-site capture, yes; the tablet app is structured rather than free-form, but the structure speeds the assessor up rather than slowing them down. For the post-visit drafting, FRA Flow is significantly faster than the spreadsheet-plus-Word workflow because the AI drafting generates narrative findings from your structured observations rather than requiring you to type them.
AI in FRA Flow accelerates drafting but never signs off. Every AI-generated paragraph is editable, auditable, and traceable to the photo, observation, or risk score that produced it. The competent person signs off the report, not the AI. The audit trail records who approved which version against which evidence, which strengthens defensibility under the Fire Safety Order 2005 rather than weakening it.
All customer data, including database, file storage, and AI inference, runs in UK or EU regions only. Nothing leaves the European Economic Area. Full security and data-handling details are on the security page.
Yes. The Free tier is forever free with two reports per month. The Solo tier (£79/month, 5 reports/month) is sized for an independent assessor running their own programme. Neither requires a team or a workspace base fee. Full pricing on the pricing page.
