FRA Flow is a structured workflow but not a complicated one. The assessor opens the property record, captures observations and photos on site (the on-site app handles offline), drafts findings (the AI assist makes drafting faster than typing), submits to reviewer, the reviewer signs off, the report is issued. Each step is clean.
The output is a polished BS 9792-shaped PDF that follows the team's branding through per-landlord configuration. The team can hand it to the client exactly as the Word PDF was handed over before. The difference is in the trail behind the report rather than the report itself.

For teams with a small portfolio, the transition typically completes within one annual review cycle. By the end of 12 months, every active FRA is in FRA Flow with a clean audit trail. The Word reports remain in the historical record but the active programme has moved on.

The issued report is a polished BS 9792-shaped PDF following your branded house style. Per-landlord branding lets you set the logo, colour palette, and footer details once per landlord client; every issued report inherits the branding automatically. The visual output can be configured to match your existing Word template appearance closely while the underlying audit trail and evidence linkage are substantially stronger.
They stay where they are. We do not recommend retroactively moving historical Word reports into FRA Flow. The cleanest pattern is operational: FRA Flow becomes the system for new assessments and annual reviews going forward, while existing Word reports remain accessible as PDFs in your records system. By the end of one annual review cycle, every active FRA is in FRA Flow.
AI in FRA Flow accelerates drafting but never signs off. Every AI-generated paragraph is editable, auditable, and traceable to the photo, observation, or risk score that produced it. The competent person signs off the report, not the AI. The audit trail records who approved which version against which evidence, which strengthens defensibility under the Fire Safety Order 2005 rather than weakening it.
